Membership & Email Privacy Statement

West Michigan Kayaking Club respects the privacy of its members, participants, and website visitors. By submitting a membership form, event registration, contact form, or email address to West Michigan Kayaking Club, you acknowledge and agree to the following privacy practices.
1. Information We Collect
West Michigan Kayaking Club may collect information necessary to operate the club, communicate with members, organize events, and promote safe participation. This information may include, but is not limited to:
- Name
- Email address
- Telephone number
- Mailing address
- Emergency contact information
- Membership and participation information
- Event registration information
- Information voluntarily provided through membership or event forms
- Communications you send to the club
- Photographs, video, or audio recordings where applicable under the club’s separate media release
We only request information that is reasonably necessary for legitimate club operations, communications, event administration, safety, or related purposes.
2. Membership Information Is Private
West Michigan Kayaking Club does not publish or distribute its membership list to other members.
Membership information is maintained by the club for administrative and operational purposes. Individual members do not receive access to another member’s personal information simply because they are members of the club.
We do not sell, rent, or trade our membership list or member email addresses to outside companies, marketers, or third parties.
3. Email Addresses and Communications
Email addresses provided to West Michigan Kayaking Club may be used to:
- Send membership-related communications
- Provide information about upcoming club events and activities
- Send event announcements, changes, cancellations, or safety information
- Respond to questions or requests
- Provide important club notices
- Send occasional newsletters or other communications related to the club
Your email address will not be intentionally sold, rented, or provided to unrelated third-party marketers for their own marketing purposes.
Membership or event emails may be sent using third-party email, website, registration, or communication services. When such services are used, information may be processed or stored by those service providers as necessary to provide their services to the club.
4. Email Privacy
When West Michigan Kayaking Club sends an email to multiple members, the club will make reasonable efforts to protect member email addresses, including using appropriate email distribution methods where practical.
Members should not assume that replying to a group communication will remain private if the email system sends the reply to multiple recipients. Members are responsible for reviewing the recipients of an email before replying.
5. Information Sharing
West Michigan Kayaking Club may disclose limited personal information when reasonably necessary to:
- Organize or administer a club event
- Address an emergency or safety situation
- Comply with applicable law, legal process, or a valid governmental request
- Protect the safety, rights, or property of the club, its members, or others
- Operate website, email, registration, or other services used by the club
The club does not provide personal membership information to other members for their personal use.
Information may also be shared with an event organizer, outfitter, transportation provider, campground, venue, or similar service provider when reasonably necessary to administer a particular event or reservation. Only information reasonably necessary for that purpose should be provided.
6. Public Posts and Social Media
Membership in West Michigan Kayaking Club does not automatically mean that your name, photograph, or other identifying information will be publicly posted.
However, club activities may involve photography, video, audio recording, social media posts, and other promotional content. Participation in club activities may be subject to the club’s separate Photo, Video & Social Media Release.
Members should avoid voluntarily posting another person’s private information without that person’s permission.
7. Website and Online Services
West Michigan Kayaking Club’s website and online services may use third-party providers for website hosting, analytics, forms, email, event management, payment processing, or other functionality.
These providers may collect or process information according to their own privacy policies and applicable laws.
The club may use website analytics or similar tools to understand website traffic and improve the club’s online services. Such information may include general information about website visits, device type, browser, pages visited, or similar technical information.
8. Security
West Michigan Kayaking Club takes reasonable measures to protect membership and contact information from unauthorized access, disclosure, alteration, or misuse.
However, no website, email system, database, or method of electronic transmission can be guaranteed to be completely secure. Members acknowledge that electronic communications carry inherent security risks.
9. Your Responsibility
Members are responsible for providing accurate information and for notifying West Michigan Kayaking Club if their contact information changes.
Members should not attempt to obtain, collect, copy, distribute, or use another member’s private information without authorization.
10. Removing Your Email Address
You may request that West Michigan Kayaking Club stop sending non-essential email communications to you.
Certain communications may still be necessary, including membership administration, event registration, safety notices, cancellations, changes to scheduled activities, or other communications directly related to an event or club activity in which you are participating.
You may contact the club to request an update or correction to your contact information.
11. No Sale of Personal Information
West Michigan Kayaking Club does not sell, rent, lease, or trade member personal information or email addresses.
The club’s membership information is maintained for the operation of the club and is not a commercial mailing list.
12. Changes to This Privacy Statement
West Michigan Kayaking Club may periodically update this privacy statement to reflect changes in club operations, technology, services, or applicable requirements.
The most current version may be posted on the club’s website.
